-
When the authorization for the service is received, GrenLore will send a welcome e-mail to the assignee or person within 24 to 48 hours, initiating the communication with the employee. This contact is to explain our policy, services and procedures along with evaluating the employee’s needs. GrenLore will provide the assignee or person with access to a website containing country information.
-
After completing this contact, GrenLore sends the order of service to the destination agent with: the maximum monthly rent, number of bedrooms and type of property (house or apartment) and security requirements for that particular country including the specifications of the employee.
-
GrenLore will also send a summary e-mail to the employee about the consultation, to the destination agent. The purpose of this summary email is to inform all the parties involved that we have initiated the contact and process coordination.
-
Next our destination agent contacts the employee and begins coordinating the housing search, schooling support if applicable. Our destination agent begins networking through their real estate brokers looking for a selection of houses and/or apartments to show. The housing selection is based upon the employee’s basic needs and the monthly rent with all the security requirements.
-
A pre-arrival email is drafted and sent before the employee or person arrives (if possible). The pre-arrival e-mail usually contains detailed information on local housing, a description of homes or rental properties, furnished or unfurnished; photos of housing, the monthly rent, number of rooms, as well as amenities of the residence, starting no later than 4 days before commencement of pre-assignment visit. Before sending any information to families, the destination agent shall ensure that the homes being provided to clients are within approved security regulations and reasonable costs provided.
-
The employee or person makes a selection from the housing list sent to them by island delegate with those properties which meet their basic needs and desire to see in the exploratory trip (if applicable) .
-
The destination agent makes the arrangements and viewing appointments with realtors and or property owners and communicates the final dates and times to the families of the selected properties to visit, elaborates an agenda and sends it to the employee.
-
Before the exploratory trip or assignment, GrenLore will send an email to the employee or person to travel copying the destination agent that will ensure the following:
-
That the person has all the information / coordination required for their trip.
-
That the destination agent is aware of the arrival of the person or family, which is being coordinated through GrenLore and the person or corporation if it proceeds.
-
Once the employee arrives to the destination country, our agent will meet them at the hotel where the employee is staying, give them a Welcome Package, set the service expectations and provide a city orientation tour. Also will provide the final itinerary to view the properties chosen by the assignee before their arrival or any changes to it.
-
Our destination agent will support with the negotiation of the lease. The lease should be in line with the laws of the country of destination and must contain the diplomatic clause if it proceeds. If it does, GrenLore would provide a sample contract or recommend a sample for this to be approved. Once the draft contract is ready, it will be sent to the appropriate administrative officer in GrenLore and the corporationor person, if it proceeds, for approval or comments (if any).
-
Finally, our agent and realtor will provide an orientation for setting up the utilities and a final walk-thru and inventory of the property.
School Support:
-
Our destination agents will assist the employee in finding schools. They will have a telephone conversation with the families to learn about the children’s educational needs and requirements. Based on this, the destination services will send the families school information, application forms and curriculum details, calendar of studies, web page etc, of those schools that best suit the needs of their children.
-
The destination services should schedule admissions interviews and testing appointments with the school on behalf of the families and provide names, dates and times at various schools, before their arrival if possible.
-
The employee may visit up to four schools. Once the assignee arrives in the country, our agents will accompany him/her to visit the various schools, help them with the process required for the registration of children, application forms (ensure that are submitted on time before application deadline). The destination agent needs to communicate (email, phone or fax) admissions decisions to the families within 72 hours of receiving the notification of the school.
